Stock Management

The Stock Management screen is used to keep track and manage your stock and is available from the Vehicles menu then click on Stock Management or via the home screen and click on the ‘Stock Management Screen. You can Add, Edit or mark vehicles as Sold from this screen. The ability to Import from EasyCars 2000 or Auto IT is available.

Filters – These default filters allow you to view certain vehicles based on that filter.

Search – based off search fields the search button will show you available stock records. You can search on Stock Number, Make, Model, and Rego Number. Alternatively you can filter on different statuses of vehicles, Eg. Sold stock, in stock, you can also filter stock based on which yard they are in.

Double click on a car – if you double click on a vehicle it will take you into Edit mode where you can make changes to an existing vehicle.

Create New – Enter a new stock record to EasyAd. Redbook will automatically fill out most fields of the details page.

  • Stock Number – The stock number will be populated automatically based off the previously entered vehicles stock number. If you have imported stock into EasyAd, the Stock number will have a letter in front of the number. You can enter any stock number you like.
  • Rego Number – Enter the registration number of the vehicle, Max: 10 alpha numeric characters.
  • Rego Expiry – Enter the Registration Expiry based off the Registration papers, if the vehicle is unregistered you can leave it empty, or enter in the expired date.
  • Rego State – enter in the state in which the vehicle is registered.
  • Select Vehicle – Click this button to select the make, model, year, Series. When you click on select stock you will be required to select vehicle information to obtain a redbook code match.
  • Stock Type – Select the type of entry it is, Car, Motorbike, Truck etc.
  • Make – this field will display the Make of the vehicle.
  • Model – this field will display the Model of the vehicle.
  • Year – this field will display the Year of the vehicle.
  • Series – this field will display the Series of the vehicle.
  • Badge – this field will display the Badge of the vehicle.
  • Body – this field will display the Body of the vehicle.
  • Stock Status – Select the status of the vehicle, In stock, On Offer, On Order, Returned, Sold.
  • Yard – Select the yard in which this vehicle is held.
  • Used/New – Select if this vehicle is a brand new vehicle or a used vehicle.
  • Stock Group – Select the stock group for example if this vehicle is at the mechanic, panel beater etc.
  • Built Date – Enter the built date of the vehicle MM/YY.
  • Compliance Date – Enter the Compliance Date if the vehicle MM/YY.
  • Engine Number – Enter the engine number of the vehicle.
  • VIN – Enter the VIN number of the vehicle.
  • Green Car Rating – select the green vehicle rating.
  • Fuel Efficient LCT – Tick this box if the vehicle is a fuel efficient for Luxury Car Tax.
  • Odometer – Enter the odometer reading of the vehicle.
  • Kms/Miles – Select if the odometer reading is in Kilometres or Miles.
  • Colour – Select the colour of the vehicle, if the colour isn’t in the list enter in a new colour and it will automatically add it to future lookup lists.
  • Interior Colour – Enter the interior colour of the vehicle Eg. Cloth, Leather, Grey etc.
  • Item condition – Enter the vehicles overall condition some advertisers might use this field.
  • Gear Type – this field will display the gear type provided by Redbook data.
  • Engine Capacity – this field will display the gear type provided by Redbook data.
  • Drive Train – this field will display the Drive Train provided by Redbook data
  • GCM – this field will display the Gross Combination Mass provided by Redbook data.
  • Engine Power – this field will display the Engine Power provided by Redbook data.
  • Seat Capacity – this field will display the Seating Capacity provided by Redbook data.
  • Radio Code – Enter in the radio code if available.
  • Send to Advertisers – Tick this box to automatically include this vehicle when sending to your advertising sites. If you untick it the vehicle will be hidden from the advertising upload screen.
  • Gears – this field will display the Gears provided by Redbook data.
  • Engine Size – this field will display the Engine Size provided by Redbook data.
  • Doors – this field will display the Doors provided by Redbook data.
  • GVM – this field will display the Gross Vehicle Mass provided by Redbook data.
  • kw/hp – select the kilowatts or Horse power.
  • Air Conditioning – Select whether this vehicle has air conditioning or not. This field will automatically be selected to have Aircon fitted unless selected otherwise.
  • Demo – tick this box if the vehicle is a demonstrator vehicle.
  • Cylinders – this field will display the Cylinders provided by Redbook data.
  • Engine Type – this field will display the Engine Type provided by Redbook data.
  • Fuel Type – select the fuel type from the available drop down list.
  • Tare – this field will display the Tare provided by Redbook data.
  • Suspension – Select the suspension from the available drop down list, this list is available to be adjusted via the lookup list screen.
  • Key Number – Enter the key number for this vehicle
  • Special – for users who have a website through Jeal this box is used to display the vehicle in another area of the website.
  • Prestiged – for users who have a website through Jeal this box is used to display the vehicle in another area of the website.
  • Send Car History – for users who have a website through Jeal this will send a Car History report to the website to generate leads from potential buyers.
  • Vehicle Description – This field is used to enter an advertising description about the vehicle.
  • Video Link – this field is used to put in a link to a YouTube video. Jeal websites and some advertisers have this functionality, contact the advertiser to check compatibility
  • Drive Away Price – This is the price including all government charges.
  • EGC Price – this is the price excluding government charges.
  • Special Price – this is a special price for the vehicle, if this field is filled in then the Drive away price and EGC price will be ignored and this price will replace them. Depending on the advertiser this other price might be crossed out and this price displayed next to it.
  • Standard Equipment – this will display all of the available features for this vehicle that were fitted standard to that vehicle when it was built.
  • Optional Equipment – this will display all of the available features for this vehicle that could have been fitted at the time the vehicle was built. These extras are not standard to every vehicle.
  • Memo – this field is used for the dealer to put internal information about the vehicle.

This tab is only available after the vehicle has been saved Reports that have been purchased via EasyAd will automatically populate this information. For reports purchased elsewhere you will need to type the information in yourself.

  • Report Result – Select Successful, Failed or unknown.
  • Written Off – tick this box if the vehicle has been deemed Written off.
  • Buy PPSR Reports – Click this button to purchase a PPSR Report.
  • Certificate Date – Enter the date in which the certificate was issued.
  • Certificate Number – Enter the certificate number.
  • Search Number – Enter the search number of the PPSR or car history report.

This tab is only available after the vehicle has been saved.

  • Click the add photos button to add photos to the vehicle.
  • Click ‘Add Files’
  • Select the destination of the photos.
  • Select the photos you want to add to the vehicle by dragging the mouse to highlight multiple images or hold the Ctrl button in on the keyboard and select each individual photo.
  • Click ‘Open’
  • Click ‘Start upload’
  • Reorder photos by dragging and dropping images into a different order.
  • Click the view button to view a larger image.
  • Click the delete button to delete the image.
  • Click ‘Save Changes’
